Position Summary
Working in close partnership with the Executive Director, the Administrative Assistant’s skills, expertise, and actions support the agency in remaining responsive to the ever-changing needs of youth and families in the West Kootenay Boundary.
This individual:

is proficient in using and troubleshooting diverse technologies including a) PC and Mac operating systems; b) Office 365 and related applications (i.e., Word, Excel, Outlook, PowerPoint, OneDrive); c) printers, scanners, and copiers; and d) web-based applications.
excels in written and verbal communication and is skilled at creating documents such as policies, procedures, forms, and reports as well as in creating agendas and taking minutes
has experience analyzing systems and processes, making recommendations for improvements, and designing and implementing change processes
is a master of being organized and managing their time well
exercises discretion and maintains confidentiality
is interpersonally skilled with the ability to work with diverse personalities
The Administrative Assistant may be delegated any of the following tasks according to the needs of the agency:
Employee Recruitment
Posting employment opportunities on various platforms
Reviewing and sorting incoming applications
Scheduling interviews
Attending interviews and taking notes
Updating personnel files
Gathering, submitting, and filing human resources paperwork
Office/Administrative Support
Picking up mail
Light cleaning
Scheduling contractors
Receiving deliveries
Watering plants
Light snow shoveling
Filing
Other duties as needed
Knowledge Skills, and Abilities Education
Certificate or Diploma in Social Sciences, Health, Humanities, or Business Administration; or other relevant discipline.
High School Diploma may be accepted if the individual has an interest in acquiring further education in Social Sciences, Health, Humanities, or Business Administration; or other relevant discipline.
Experience
One year of experience providing direct administrative support to leadership (preferred)
Experience working within the Social Services (preferred)
Experience working within a non-profit (preferred)
Experience working for an agency that relies heavily on technology (preferred)
Experience working alongside worldviews that are not their own (required)
